Staff Accountant II

TITLE: Staff Accountant II

DEPARTMENT:WEATHERIZATION

REPORTS TO:Director of Finance

FLSA: Non-Exempt

BASIC FUNCTIONS:

This position supports the finance department by performing Payroll and Staff Accounting functions with emphasis on the Weatherization and Childcare programs.

GENERAL DESCRIPTION:

This position supports the finance department by performing Payroll and Staff Accounting functions.The Staff Accountant II also provides support to the Weatherization and Childcare programs. This position is responsible for processing biweekly payroll. The Staff Accountant II also maintains employee files, and ensures that all pay rates, deductions and PTO are up to date and reflected in the payroll cycle. This position assists and prepares for external audits and adheres to all policies and procedures. The Staff Accountant II also reviews and processes check requests. This position maintains daily cash receipts and manages certain credit card accounts. The Staff Accountant II provides support to the Weatherization program through communication with vendors and preparation of financial reports. This position also supports the Childcare program though billing of parents and the State, and works with parents/guardians with children that receive childcare services to develop individualized payment plans.

Job Responsibilities:

Staff Accounting
Review and process check requests and enter bills in the Accounting Software
Ensure all coding is correct and in compliance with agency policies and procedures
Maintain and update accounts payable reports and records on a daily basis
Maintains Balanced Spreadsheets of Weatherization WIP and Job Costing
Review phone bills and phone call logs for personal calls and collect payments
Maintains daily cash receipts and prepare Weatherization deposits
Reconcile general ledger accounts
Record journal entries for month and year end closing
Close Weatherization files at the end of each job
Assist with AP/AR for the Emergency Furnace Program through the processing of invoices
Prepare and report Weatherization invoices contained in WISWAP to the State on a monthly basis
Work with Weatherization production staff to properly code all items
Maintain communication with vendors that oversee the company’s accounts
Provides support to the Director of Weatherization with special reports and projects.
Process parent billing for child care center
Process W2 and respite billing to the State for childcare
Maintain A/R accounts in ProCare
Collect past due bills from parents with children receiving childcare services
Meet with families and establish accounts
Work with childcare management to provide updates and report on trends
Parent payments and co-payment calculations

Payroll:

Process biweekly payroll in a timely manner
Maintain employee files containing all pay rates, deductions and other matters
Verify all payroll quarterly reports filed by the payroll provider
Assist with journals for payroll, 401(k), tax and insurance voluntary and involuntary deductions
In conjunction with the bank representative reports, record and reconcile La Casa’s 401(k), matching and profit sharing program per employee
Assist and prepare for external audits of 401(k) and safe harbor – 5500
Address and resolve all problems in payroll process
Maintain confidentially of all payroll information
Maintain information concerning employee paid time off and communicate balances to all supervisors every payroll
Adhere to all policies and procedures related to payroll
Prepare compensation reports as required
Other duties as assigned by supervisor or CEO
Job Skills Requirements:

Experience in Accounting:

Experience in the use of computerized accounting tools.
Strong computer skills with the ability to operate within multiple software systems
Excellent organization skills
Ability to pay close attention to detail
Exceptional analytical, problem solving and organizational skills
Ability to simultaneously keep multiple projects moving and on target
Able to work flexible hours, including evenings and weekends as needed.
Personal and interpersonal skills
Exceptional communication skills (written, verbal
Valid WI Driver’s License

Education Requirements:

Associate’s degree in Accounting or other related field; or 2-5 of related experience

Desired Characteristics:

Bachelor’s degree in Accounting
Experience in Accounting within the non-profit sector
Familiarity with Weatherization program and processes
Bilingual English-Spanish communication is an asset
Computer skills including WISWAP and Microsoft Office

The employee will have unsupervised access to children, both at the clients’ homes and at the Weatherization Department office, which is located next to the Child Care area.
