EARLY CHILDHOOD PROGRAMS RECEPTIONIST – PART-TIME EVENINGS 3-7PM

BASIC FUNCTIONS:         Responsible for all aspects of office management

                                               ensuring organization, data entry, collaboration and

                                               communication. Bilingual Spanish/English

REPORTS TO:  ECE Director

FLSA:   Hourly – Non-exempt

GENERAL DESCRIPTION:

This position requires a person who is able to organize and facilitate operations of the Children and Family Program in coordination with the Director and Coordinators.

POSITION RESPONSIBILITIES:

  1. Answer telephone in a professional and courteous manner.  Take messages.  Schedule appointments. 
  2. Communicate with parents as requested by Director or Coordinator(s).
  3.  Welcome and provide information to parents, children and visitors about the Children and Family program and its policies.
  4.  Limit access to the center.  Ensure that only authorized individuals are admitted into the center.  Enforce parent and staff sign in/out procedures.
  5.  Know how to reach the Director and Coordinator(s) in case of an emergency.
  6. Ensure that the front desk is covered at all times, making arrangements for coverage during breaks, lunch and vacations.
  7. Responsible for maintaining medication logs, informing staff when children need medications and assist in medication administration.
  8. Provide coverage in classrooms as necessary to ensure that proper ratios are met or in main reception area as needed.
  9. Assist Director and Coordinator(s) with translation and preparation of mailings, reports and other documents.
  10. Collect tuition payments and provide receipts.
  11. Enter and maintain information into childcare management system, keep attendance records and meal counts up to date.
  12. Assist School Age Coordinator with transportation paperwork by ensuring daily sheets are printed,
  13. Participate in staff meetings and in-service programs.
  14. Perform related duties as assigned.
  15. SKILLS AND QUALIFICATIONS:
  1. High School Diploma or higher.
  2. Familiarity with Microsoft Word, Excel and database management.
  3. Shall be at least 18 years of age.
  4. Ability to work as a member of a team.
  5. Must be reliable and flexible to meet the needs of the program.
  6. Ability to work effectively with diverse families.
  7. Ability to work in a fast paced environment.
  8. Must possess a desire to learn new skills.
  9. Shall be physically able to work with young children including lifting them, as needed based on their age and needs.
