EARLY CHILDHOOD PROGRAMS RECEPTIONIST – PART-TIME EVENINGS 3-7PM
BASIC FUNCTIONS: Responsible for all aspects of office management
ensuring organization, data entry, collaboration and
communication. Bilingual Spanish/English
REPORTS TO: ECE Director
FLSA: Hourly – Non-exempt
GENERAL DESCRIPTION:
This position requires a person who is able to organize and facilitate operations of the Children and Family Program in coordination with the Director and Coordinators.
POSITION RESPONSIBILITIES:
- Answer telephone in a professional and courteous manner. Take messages. Schedule appointments.
- Communicate with parents as requested by Director or Coordinator(s).
- Welcome and provide information to parents, children and visitors about the Children and Family program and its policies.
- Limit access to the center. Ensure that only authorized individuals are admitted into the center. Enforce parent and staff sign in/out procedures.
- Know how to reach the Director and Coordinator(s) in case of an emergency.
- Ensure that the front desk is covered at all times, making arrangements for coverage during breaks, lunch and vacations.
- Responsible for maintaining medication logs, informing staff when children need medications and assist in medication administration.
- Provide coverage in classrooms as necessary to ensure that proper ratios are met or in main reception area as needed.
- Assist Director and Coordinator(s) with translation and preparation of mailings, reports and other documents.
- Collect tuition payments and provide receipts.
- Enter and maintain information into childcare management system, keep attendance records and meal counts up to date.
- Assist School Age Coordinator with transportation paperwork by ensuring daily sheets are printed,
- Participate in staff meetings and in-service programs.
- Perform related duties as assigned.
- SKILLS AND QUALIFICATIONS:
- High School Diploma or higher.
- Familiarity with Microsoft Word, Excel and database management.
- Shall be at least 18 years of age.
- Ability to work as a member of a team.
- Must be reliable and flexible to meet the needs of the program.
- Ability to work effectively with diverse families.
- Ability to work in a fast paced environment.
- Must possess a desire to learn new skills.
- Shall be physically able to work with young children including lifting them, as needed based on their age and needs.
